US Accounts Moving

We have been increasingly concerned about the alarming erosion of online privacy rights in the USA over the past decade that we've offered Secure Email services hosted in the USA.

To offer our customers an alternative to hosting their email in the USA, in 2004 we began offering Offshore Secure Email service hosted in The Netherlands, and in 2010 we moved all Offshore Secure Email accounts to servers hosted in Switzerland, which affords some of the strongest legal privacy protections for customer email messages stored on our servers.

As the conditions for online privacy continue to deteriorate in the USA, we believe the time has come to completely eliminate our customers' exposure to the US's privacy-hostile environment. So effective as of 12AM UTC on 2nd March 2013, all US hosted Neomailbox email accounts will be moved to servers in Switzerland. No customer email data will be preserved on any servers located in the USA.

We have been preparing for this move for many weeks and have implemented it in phases so as to not require any changes at all to email client configurations or the way customers access their accounts. So if you have a US hosted Neomailbox account, you don't need to make any changes to how you access your email.

In particular, this means that customers with previously US-hosted accounts will continue to access the neomailbox.com (not neomailbox.net) site and use the neomailbox.com mail servers. In the future we do plan to combine the user databases and integrate the (formerly) US based neomailbox.com and the Swiss based neomailbox.net sites. However for now the two separate sites continue as before, with the only difference that now they are both hosted in Switzerland.

Customers on the US-hosted plans will still be able to renew their plans at the original package prices for now. We will announce a switchover date soon, beyond which it will no longer be possible to renew at the old US package prices and the distinction between the previously US hosted and Swiss hosted accounts will end.

This marks the end of an era for us after a decade of offering email services hosted in the USA. It also marks the start of a new and exciting phase for Neomailbox as we continue to work on adding new features, with lots of exciting developments planned for this year!

Enhanced Spam Filtering

Today we activated some major improvements to our spam filtering systems. The main changes are summarized below:

  • Grey-listing is now disabled - Although grey-listing was very effective at cutting out a large amount of spam without any false positives, it did introduce a delay in receiving an initial mail from a server that was not previously known to the grey-listing system. While this is usually not a major problem, it can be in some cases, such as with account verification emails, or emails containing time sensitive e-banking PINs or other time-critical information. The elimination of the grey-listing layer ensures that going forward customers will receive all mail without any delay.

  • All messages are assigned a spam score - Every incoming message is assigned a weighted spam score, based on a variety of criteria, using the leading open source anti-spam system SpamAssassin. The spam score for each message is inserted as a header into the message, the "X-Sa-Score:" header. If the spam score for a message is greater than a threshold (currently 1) another header "X-Sa-Report:" is inserted as well, providing more information on the criteria that contributed to the spam score.

  • Messages with high spam scores are rejected - If an incoming message is assigned a spam score greater than a limit (currently set to 7) the message is almost certain to be spam, and it is rejected at SMTP time - it is not accepted by our servers at all. This means that the sending SMTP server is responsible for generating an error message or bounce message for the sender. This ensures that we do not create "backscatter" spam by sending a bounce message to the (possibly forged) sender address on the message. In the unlikely event that the message was actually a legitimate message incorrectly scored as spam, it doesn't silently disappear into a spam folder, but is bounced back to the sender so the sender knows it was not delivered and can try sending it again, perhaps through a different email server.

  • Messages with medium spam scores are tagged - If an incoming message is assigned a medium spam score (currently, greater than 5 but less than 7) it is tagged with a header "X-Sa-Status: YES". Messages tagged with this header are also most likely spam, and can usually be safely filtered into a spam folder and reviewed occasionally to catch any false positives.

The new anti-spam system will result in instant delivery of all legitimate incoming mail and much lower incoming spam levels by default, without requiring the configuration of any mail filters by users, while still maintaining a near-zero false-positive level. Users who want an even higher level of spam protection and are prepared to deal with the possibility of the occasional false positive can use the new headers described above to filter messages at lower spam score level.

We do have a few more anti-spam enhancements in the works, but this major overhaul of the anti-spam protections in Neomailbox should already result in the elimination of almost all spam from your mailbox.

Automatic PGP Encryption

We've recently added the ability to automatically encrypt all your incoming messages to your PGP key before saving them to disk.

This way you can ensure that your messages saved on the server are encrypted at all times.

Note however that many email programs won't be able to search the contents of encrypted messages very easily. Also remember that if you lose the PGP private key needed to decrypt the messages, you will not be able to recover your messages, and neither will we!

Automatic PGP encryption applies only to incoming messages, and will not currently encrypt the contents of your Drafts and Sent mail folders. It also does not apply to messages larger than 1MB in size.

If you'd like us to enable automatic PGP encryption of incoming messages for your account, just contact us with the PGP public key you'd like the messages encrypted with, and we'll get this set up for you.

If you'd like to enable automatic PGP encryption of incoming messages only for specific addresses at your subdomain or domain (or for all except certain addresses), we can set that up too.

Important Account Changes

We've recently integrated the accounts and control panels for the Offshore Privacy Combo accounts which have a 5GB or greater monthly data limit.

Previously for these accounts, the control panel for Secure Email was separate from the one for Anonymous Surfing, and the passwords could be different as well.

Now, the password for the web control panel is also used for Anonymous Surfing access, and the previous control panel for email is now the control panel for both Secure Email and Anonymous Surfing

If you have an Offshore Privacy Combo account with a 5GB or greater monthly data transfer limit, and your web control panel password is different from your Anonymous Surfing password, you will not be able to use Anonymous Surfing with your Anonymous Surfing password, which has been retired. You should now use your web control panel password to access Anonymous Surfing.

Enhanced Webmail

We're pleased to announce the immediate availability of a new, significantly enhanced webmail system for all Swiss hosted Offshore Secure Email accounts. The old webmail systems are still available should you need to use them.

US hosted email accounts don't currently have access to the new webmail system, but this will be made available as soon as possible.
